The Greig Trust is committed to protecting and respecting your privacy. We process this information for the purposes of assessing applications, awarding and administering grants, monitoring the use of grants, fulfilling our legal obligations, and managing our charitable activities.

We process most applicant information because it is necessary for the legitimate interests of The Greig Trust in administering, monitoring and evaluating charitable grants, provided that these interests do not override the rights and freedoms of the individuals concerned.

Where we process special category personal data (such as health information), we will do so with the applicant’s explicit consent and, where required by law, any other applicable condition under data protection legislation.

You may withdraw your consent at any time. However, if you do so, we may be unable to assess or continue processing your grant application.

Applicants must ensure that any third party whose personal information is included within an application has been informed of this privacy information and agrees to the disclosure of their information where appropriate.

How We Use Your Information

The personal information you provide will only be used for purposes connected with:

  • Assessing grant applications;
  • Awarding and administering grants;
  • Communicating with applicants and beneficiaries;
  • Monitoring and evaluating grant outcomes;
  • Maintaining financial, legal and regulatory records; and
  • Complying with legal and regulatory obligations.

We do not sell personal information to third parties.

How Long We Keep Information

We retain personal information only for as long as is necessary for the purposes for which it was collected.

  • Successful applicants: information will be retained for the duration of the grant relationship and for 7 years following the date of the final payment or last contact, whichever is later.
  • Unsuccessful applicants: information will be retained for 12 months after the application decision date.

Information may be kept for longer where required by law or where necessary to establish, exercise or defend legal claims.

Keeping Information Up to Date

We aim to ensure that the personal information we hold is accurate and up to date.

If you believe the information we hold about you is inaccurate or incomplete, please contact us. We will correct or update information where appropriate and, in certain circumstances, delete it.

Your Rights

Under data protection legislation, individuals have several rights regarding their personal information, including:

  • The right to be informed about how their information is used;
  • The right of access to their personal information;
  • The right to have inaccurate information corrected;
  • The right to request erasure of personal information in certain circumstances;
